Show Notes for Season 1, Episode 008 of the Dream Doers Podcast: “15 Reasons Dubsado Changed My Life”

[00:00] Intro

  • Welcome back Dream Doers, it has been a minute but listen if you missed the last two episodes I posted of my interview with Bethany Shipley and also her interview with me. You are missing out. Make sure to tune in and catch up on season one episode six and seven. 
  • Today we’re going to be talking about one of my absolute favorite things ever, and that is business organization.   • A few years ago, probably about eight years ago now I had a client reach out and said “Hey how much do I owe you on the invoice, and do you have the information in the contract you can send me?”.. and I was out of town. I knew that I had my three ring binder. Yes, my three ring binder of paper contracts and invoices all organized in my office at home I made her wait because I had to get home to get that to then  email a screenshot or something. So I remember posting on a few forms, “Does anyone know how to send a digital contract?” 
  • That is where this all started for me. I think honestly this is what made me feel like I was such a cave woman. I’m thinking how do I not know about all these new advancements in the digital world for client management. Like how are we not talking about this in our industries. I’m sure people were, I was just not quite in the loop yet. So what happened was everybody started tagging either the companies they had heard of of these programs they were using and I took a long list of about 10 and I went and investigated all of the pros and cons all of the pricing, all of the needs, it really made me sit down and evaluate what I need in my own business., how do I wanna operate? And then really dive into these programs to see how these companies could serve me and what I realized is, this was the moment that was going to literally change my life: business and personal and get a balance back between the two.
  • Let me explain I’m sure for all of those who have been in business for 10+ years you remember the days that you would meet everyone in person and then you would even customize, you know packages for your services or your products and then you would hand write things and have invoices that you would print out from Word documents. Or you know old old programs that barely operated and kept you organized. So essentially you had all of these filing cabinets and things that were in your home and it would terrify me. Like what happened if my house would burn down and I had everything in here? What happens if someone came and spill something on these or or stole them? I mean, I would have no organization outside of this backed up so this was a great path for me to go down to start investigating and really figure out what my needs were as a business, how I operated and how I could simplify this for not only myself, but my clients and have everything accessible for them. And beautifully branded online where they can get to anything they need it anytime and we can have all of our communication in one place.

[5:07] #2 – Intuitive Design & Unmatched Customer Service

The software is so intuitive. It’s so well designed and pretty on the backend as a user like from my perspective, I feel like it’s really easy to follow, everything‘s organized, I can find things pretty simply. If not, their help desk is amazing. You just type in what you’re looking for it tells you where to go. But then also from my clients perspective is very intuitive for them as well and beautifully branded. 

Also, their customer service is out of this world. I don’t even know how to explain it. There is no company I have ever worked with from the biggest of the corporations to the smallest of local mom and Pop shops, I’ve never experienced Customer Service like Dubsado. Before AI, if you reached out on their chat, they would get back to you in an hour and it was a person. Now of course as we have evolved with AI and the support there their AI actually feel like a person to it responds right away get to the information you need and if that doesn’t help you right away with just the basic answer, then you can also talk to a person and then get back to you pretty quick. And they do just about anything that you need in this one program. It’s pretty ridiculous, how amazing their Customer Service and the intuitiveness of this program is.

[6:30] #3 – Always Free Upgrades

Did I mention the upgrades are always free so every time they send out new emails and they keep you in the loop about what they’re doing and what they’re hearing their client say and how they’re adding things, they’re sending out your email blast and you get all of those updates for free. There’s never up charges and that’s incredible. Most programs will charge you every time you need to make an update does not.

[6:56] #4 – Manage Up to Three Businesses

We can have up to three brands or in other words, three businesses that we can toggle back-and-forth between. Which is amazing because I actually have three businesses. So one of them is my photography business. All of my clients information, invoices, bookkeeping, everything is in that. If I toggle to my Photo Booth business, I don’t see anything photography related. I just see my Photo Booth information and clients and invoices, etc. You have up to three businesses with your plan. How incredible is that? I don’t know many people that would let you operate three different businesses under one plan. This allows us to manage at all.

[7:43] #5 – Built-in Bookkeeping & QuickBooks Sync

It also has bookkeeping to track your income and expenses. For those who have a more simple business to run and don’t need something as detailed like QuickBooks, this actually works really well. It’s a great way to save money only having to use one program, because Dubsado does it all baby. But for business is like mine where I have a lot of intricate details I need to track and I have a three different businesses, I do also pay for QuickBooks but Dubsado syncs right to QuickBooks. So, it’s a win-win again because everything I do in there, it goes into my QuickBooks account and my bookkeeper and my CPA can manage everything in their  QuickBooks subscription as an admin under my account. So it’s incredible that Dubsado can sync with so many different programs as well.

[8:35] #6 – Dashboard & Workflow Management

You can keep the dashboard up every day for your daily workflow. I know it sounds silly, but you’ve got a calendar in there, you’ve got your tasks, you’ve got your goals that you’ve set, you’ve got the goals that you may or may not be reaching and that will inspire you to see that, you’ve got your notifications and your emails all right there synced in. So if you want to keep that up as part of your task management you can and then you can click into anything individually if you wanna access anything like a project or more details reports. 

  • Calendar – 

OK the calendar it lets you sync your calendar. I am a huge fan if you heard my interview with Bethany we talked quite a bit about Google. Google is kind of my other love outside of Dubsado, and you can connect your calendar straight to Dubsado and then every single thing again fall on that dashboard. You can see your daily or weekly or monthly agendas right there in Dubsado. 

  • Synced Gmail –

Also you can sync your Gmail email so that too on the dashboard will show your emails that are coming and  you can read them as if you have Gmail opened but it’s just right there in Dubsado. Or you can click into the individual projects and email them directly and see your email conversation bubbles. But I really love that Dubsado lets you sync so many things so you can access everything right here without having to have so many different programs. 

  • The To Do List Sticky Note – 

OK use it like a sticky note to do list of items that need to get done right there and you just check it off and if you’re someone like me who just loves to have that check and that makes you feel good, it’s right there on your dashboard too. There’s something really gratifying about seeing items being checked off your list if, if you know what I mean, and then watching them disappear. But of course they just keep growing, but that’s OK. That means your business is doing wonderful. 

  • Financial Overview –

The other thing is the financial overview that I briefly talked about. This is a great way to see how you’re currently doing without having to search for it and it shows you how much you’ve made in income that calendar year, how much is projected, invoiced but not received and grand totals like invoice amounts paid and unpaid. And all that’s right there on your dashboard too. 

  • Synced Emails – 

I talked about quite a bit of above you can toggle between the businesses right there under your dashboard as well and it will just open the default dashboard on your next one. So I toggle back-and-forth quite a bit during the day. I’m multi-managing businesses, of course and so I need to pop into one and pop into the other and it just takes one click so super easy. 

  • Chat Box – 

And then their chat box. Of course I said that they are the best customer service there ever was but it’s right there on your dashboard as well. So if you wanna hop in and ask a question there, they’re pretty quick to getting back to you, especially with Customer Service as well. And then you can always hop on the Facebook community group which so many people are helpful every day in there. You can ask questions, they’ll give you answers or their support you, so they have a wonderful community. I’m not kidding, this is this brand is something that I would sell out to you. I am a diehard Dubsado fan across the board. All their employees are wonderful. I’m constantly asking what’s your address so I can mail you cookies or flowers… I just appreciate this company so much.

[12:10] # 7 – Fully Customizable & Brandable

OK moving on to number seven. Number six had a lot of dashboard features but here we are we’re on the seventh. One of my favorites, (let’s be honest I have hundreds of reasons why I love Dubsado) but Dubsado really lets you customize and everything. From your colors to your layout feel, to your logo and other aesthetics or photos or icons or graphics that you want to include in there. So beautiful. They don’t stamp their name on anything really. You can even customize your URL if you want to have client portal customizations. Or if you just don’t want to be anywhere your clients don’t have to know you choose what you want on your forms, on your contracts, on your order forms and really anything. You choose what you want it to look like. Their system is so clean it’s a drag and drop so even your grandma can do it. It literally says you want to put an image here, just drag it over. You want to put a font here, just drag it right here and then you can customize it with a click. It’s so easy. That was a huge win for me. The branding part. If I haven’t said that enough, I’m going to keep saying it.

[13:30] #8  – Client Portals for Easy Access

This leads to the client portal I was just talking about this is one of my favorites. This is something you can turn on and since your client so that they can have a place to refer back to everything in one place. So I’m sure if you have worked with clients in the past, they’re emailing you “Hey, where can I find this, Oh I lost this questionnaire” or “Where is the invoice?”…. I send one email to my clients and I say “I know your time is precious. Please save this one link and here’s your password” and everything’s in there. From all of our email communication, your appointment reminders your documents, contracts, questionnaires order forms. I have our album ordering proofs in there as well and they can view and comment. I have utilized Dubsado to the max. And this makes me happy because it provides an experience for my clients. Instead of having to dig up emails and wonder about things, they can find everything in that one spot. But I like to stay organized for my clients and I like to make them feel organized too. There’s also a feature that you can customize a banner so if you want to say “Hey welcome to your portal” and have a beautiful photo or if you want to customize it specifically for them and make it more personalized you can do that as well.

[14:49] # 9 – Project & Job Tracking

You can quickly see a list of your clients names, when they contracted with you, if there’s an event or a deadline, you can set that date you can see if they’re partially or fully paid, if they viewed or signed their contracts and forms, amongst a lot of other things that you can customize. Whatever you want to see. You can also put an appointment reminders notes, call logs, timestamps, and more so you can keep all of your ducks in a row.

[15:20]  #10 – Legally Binding Online Contracts

Can I get a hallelujah please. This is what took me down this rabbit hole to find this company. Do I even need to go any further? This was one of the biggest things I needed in an online management system. Dubsado lets you customize your contracts and also present them beautifully again. Your clients can initial and sign where they need to and then it notifies you and you can counter sign in seconds. All stored right there on their client portal and it’s all just as legally binding.

[15:57] # 11 – Online Payments Made Simple

Listen… in the digital world that we live in we are not going back. If you are not accepting payments online digitally then you gotta get caught up. And this is a good start for you. Your clients can pay via ACH on Dubsado for free and if they pay charge you a fee at all, it’s only up to five dollars max for ACH. This is my favorite way to have people pay but if you want to turn on the credit card option they do work with stripe who’s Customer Service is also fabulous. And then you just get that small credit card fee and I personally charge that fee to my clients that way most of my clients pay with ACH and check or Venmo.

Error — 16:20 It should say: “If they charge you anything at all, it is only up to $5 max for ACH.”

[16:48] # 12 – Tips & Client Appreciation

You can turn on a feature that allows your clients to tip you. The second I turned it on my clients were sending the love as a thing and it was a huge blessing that reassured me that my clients are being served well.

[17:05] #13 – Automations & Workflows

It just keeps getting better doesn’t it? OK, automation is ran by the hands of God himself. You can set up a lead capture form which is a client contact area on your website that allows your clients to choose what they are interested in if you offer multiple things. And then you can set up a workflow to auto send them welcome emails that are custom, proposals, even their contracts and invoices. Listen you’re already typing the exact same information to each and every person so to the people that say they don’t like automations because it seems so impersonal, it’s actually not because you’re typing manually with your hands the next time someone inquires to get them information that you were saying on repeat. So when you set up automatic emails to be sent,iIt can customize their name, you say the same thing with your same brand voice and they will never know. You can set these things to auto send after they complete a certain step or you can choose to pause it so you can check in on what’s going on. For instance, I’m a photographer so I automatically send them a welcome email and our pricing guide. But I have it paused so that I can check and make sure I have their date available before the workflow send them their contract and invoice. In my Photo Booth business however, I have multiple Photo Booth and multiple vehicles to rent. So I don’t have a pause because most likely I’m not going to have all of those booked on one da. So if they inquire, I have a proposal on my website, they fill that out, it automatically tallies at the bottom all of the selections they just made, and then it will automatically send them their contract on the next tab. They view and sign that and then it automatically sends the invoice and then they can pay it right there or mail a check. 

In my photography business, I also like to meet with my Wedding clients in person to make sure we’re a good fit first so I can then tell Dubsado’s workflow when to start up again manually or buy a date or steps at your client completes.

OK let me tell you some stories about why I am so obsessed with workflows. 

I was on a project in Mexico I had a day off, so I got to lay under the cabana with my drink by the ocean, just relaxing with my sunglasses on under the sun. And my phone dings me: 

Ding – Someone just inquired. 

Ding – Someone filled out your proposal. 

Ding – They just viewed and signed your contract. 

Ding – The invoice has been viewed and paid. 

And I didn’t do anything other than lower my sunglasses to see the notifications come through on my phone to lift my sunglasses back up and continue on. I didn’t lift a finger or even have to open my phone or computer and that is the power in workflows. If you can set those up correctly, I encourage you… It seems like a lot when you’re learning a new program I get it. And you’re trying to figure out. “Where do I start? What do I do?” If you’re gonna start anywhere, I would start with a piece of paper and a pen, and I would write down the steps that your clients take with you when they’re inquiring about your service or your product and then what do you want to happen directly after that. Write down those very clear steps and then all you have to do when you go into the workflows of Dubsado is set it up exactly how you wrote it. 

When my client inquiries, the second day inquire I want to send an automated email welcoming them giving them some information, and then sending them the proposal to fill out. Then once they fill out that proposal, I want to send them this specific contrac. So you can set all of that up and it’s a lot to do with the beginning but once you get it set up, I’m telling you the next 5 to 10 years of my life, I feel like I have hardly worked and I have a lot of friends ask, “Do you even work anymore?” And Im like, “Really my Dubsado robot assistant does everything for me but it’s still so personal, I’m still getting in and interacting with my clients or I’m taking calls or Zoom meetings. But everything is just a click of the button to pick back up on all the monotonous things that I would be doing like sending the contracts and invoices or questionnaires. There’s also reminders.. you know if there is a payment due a month it will send an email reminder: “Hey, in four weeks on this date, your payment of this amount is due you can pay right here,” and I don’t have to say those things those are things that this can manage for me.

[22:15] # 14 Scheduled & Canned Emails

Because of this awesome feature, we can also have happy 1st anniversaries or birthday  emails sent on certain days or the payment reminders. This is by far my favorite thing about Dubsado, because before what I noticed is I was spending so much of my time sending emails and because I was a night owl working late, I would send a lot of emails after hours and then they would expect me to respond late because they saw an email come in at midnight or 1 am or they would text message or call or expect an email. And then the next day first thing in the morning they would say, “Hey I emailed you last night. I haven’t heard from you.” 

So what the scheduled emails in Dubsado allow you to do is say, “I’m writing at 11 PM but my business hours are 9 AM to 5 PM I’m going to schedule this email to send first thing in the morning when I open my business at 9 AM.” And then you keep everything within the window. You set healthy boundaries between your clients, you keep everything within that window, then you turn everything off in the evening. That means if they’re calling you, if they’re emailing you, you’re not getting back to them. You’re scheduling it for the next business day. They don’t need to know that you’re working late in the evening. Maybe your kiddos are sick and they put on a movie and you want to catch up on some emails, your clients don’t need to know that. But looking professional and keeping everything within a set of business hours is one of the best pieces of advice that I received and I implemented and I’m not going back. So I encourage you all the same.

[24:00] # 15 – Custom Forms for Every Need

The sky is the limit. You can send questionnaires, your order forms, you can even do the album editing program that I mentioned above. And this is what really sold me on Dubsado because I was paying for an album editing and client interaction program so that hey could leave comments about changes they wanted to make, and then I could get that additional fee and do everything right here in Dubsado.

You can also open the forms up in a new window, download or print the forms or even copy and paste the URL so that you can send it to other people as well. So when I’m working with my Wedding Clients and a coordinator wants their contract I can open that up copy the URL and send them right to her. She doesn’t have to get into her portal of information. 

We use this for sharing wedding draft timeline with my clients or the coordinators for an easy way to communicate. And then they can open it when we hopping on a zoom with three or four of us and view it all at the same time.

That will give you a whole lot of credit with an online presence where people can go and learn about you, but with Dubsado’s beautifully forms, you can actually create a form that looks like a website page and allows you to drop packages that you’ve created in Dubsado in that form so people can select the offerings or the products that they want and again it can trigger those contracts and those invoices and you can make a whole sale in Dubsado alone. And then have your workflows set up to send those thank you emaisl and the follow up discount codes you want them to have for the next time they come shop. And you can have all of your bookkeeping, all of your calendar, all of your emails, every single thing you need to run and operate a business for just $20 or $40 a month.

[27:46] – My Personal Story: How Dubsado Kept Me Afloat Through Trauma

I know a lot of you don’t know my full story yet, and that day will come. But to fully, fully express my gratitude for this program and how much it truly saved my life, I feel I have to share a snippet of those experiences now in order to grasp my adoration for Dubsado. I also touched a bit of my story in Season 1, Episode 1 about my why for starting this podcast, if you want to go back and listen to that.

Essentially, ten years ago, I could never have imagined the storms that were coming: things from multiple forms of abuse, betrayals, identity theft, robberies, traumatic accidents, loss, death, grief, foster care and a legal system, a shooting, a pandemic and more… all while people I trusted were intentionally hurting me and my crew. So the weight of it all left me on the literal floor and in the bathtub for hours for almost a year, trying to figure out how to heal and get through this while I was barely surviving this heavy load, and alone.. with the help of an incredible support system sometimes. 

But during that time, one thing kept my business and my family afloat: and that was Dubsado. I had implemented it into my businesses years earlier and then set it up to be tailored to my exact needs. And because of that, it kept operating when I couldn’t. It brought in income, paid the bills, kept my home, children, and pets taken care of—simply because the business management weight was taken off of my shoulders knowing I had a well-oiled machine and company that had my back.

Dubsado kept every part of my business running smoothly behind the scenes so when I did need to show up for work in person, I could focus fully on delivering my best without worrying about the back-end chaos.
